Gift and Exchange Policy
The library welcomes gifts of books and other information resources that enhance the strength of the collection and which support the curriculum and research programs of the university. Over the years, the library's collection has been enriched by such donations.
Librarians and/or the Library Director have the responsibility of reviewing donations, and/or offers to donate, and making decisions based on the library's collection development policy. The library reserves the right to refuse a donation, but, in such cases, should provide an explanation.
The library reserves the right to make all decisions as to the retention, location, cataloging treatment, and other considerations relating to the donation. Materials not needed in the library collection may be exchanged with other libraries, sent to a reseller, discarded, or returned to the donor as per his/her request.
The following limitations are placed on the acceptance of gifts:
- all gifts accepted become the sole property of the library
- the appraisal of a gift to the library is the responsibility of the donor
- gifts offered with conditions attached (i.e., special locations or retentions) may be accepted only with the approval of the library director and liaison librarian(s)
Exchanges are those items obtained through cooperative agreements with other libraries and back issue vendors. The library's exchange program mainly deals with magazine and journal issues that have been duplicated on microfiche.
It is the responsibility of the Periodicals Department to create and maintain periodic lists of in-house exchanges. The department is also responsible for monitoring any incoming lists for possible additions to the library's collection. Any lists received that include items other than periodicals will be forwarded to the appropriate liaison librarian.
The following limitations are placed on exchanges:
- all materials received become the sole property of the receiving library
- postage over $ .50 will be reimbursed to the sending library via postage stamps
