Fall 2003 Business Meeting

The business meeting was called by to order by Michael Kim about 2:30 pm following a workshop on ways to improve communication in the workplace, with vendors, with patron and interdepartmentally.

The meeting place of the spring meeting will be either at the OU SLIS or at OCU. Because of the new mentoring program and the need to establish contact with library students, Norman will be the first choice. If we are unable to work out a convenient time or meeting place there, the meeting/workshop will be held at Oklahoma Christian University.

Report on the beta testing of electronic delivery of journal archives to a local server by the OU Health Science Center

Four members of the planning committee are rotating off: Michael Kim, Beverly Dowdy, Marla Roberson, and Nancy Jurney. Volunteers for the next two years were Adrianne Edwards-Johnson, Doug Amos, and Elaine Bradshaw. They will join the two remaining members: Michele Seikel and Louisa Payne.

Adri Edwards-Johnson reported on the possibility of the offering a LC Workshop on Basic Serials Cataloging. She's certified by the Library of Congress as an instructor for this course. If we offered a one-day (condensed) workshop, she could teach it alone and SIGALO could avoid paying travel expenses. If we wanted to offer the standard two-day workshop, it would require another instructor and therefore additional expenses, as Adri is the only certified instructor in Oklahoma.

The scheduling options were discussed. The consensus was to try to hold a two-day workshop in either Tulsa or Oklahoma City and co-sponsor it with the Technical Services Roundtable of OLA. An ad-hoc committee was formed to assist the planning committee. Volunteers were Janet Hughes, Junie Janzen and Michael Kim. Marla Roberson was volunteered in absentia.

Methods for notifying the membership of an upcoming meeting were discussed. For this meeting the ILL system was utilized rather than the US Postal Service as well as notification by email and posting on the listserv. While less expensive, it was not as efficient. Several members were only notified by email and never received a flyer in the mail. The cost of mailing a flyer is around $50.00. Since there are no dues, this cost is usual absorbed by the host institution. It was generally agreed that email notification was the easier, cheapest and a more reliable way to notify all of the members.

The dissolution of the listserv at ORU was discussed. There are at most ten subscribers and virtually no traffic. There are, however, no complaints from ORU about the space wasted on their server. It was decided to wait until spring to make a final decision about the SIGALO listserv. In the meantime, Dana Belcher will send a reminder to the membership about how to subscribe.

The meeting was adjourned around 3:00.
